We are seeking to recruit an Wills and Deeds Administrator to work with our Bedford and Northampton offices. 

Responsibilities include:

  • Maintain databases for Wills and Deeds, ensuring accurate records for movement of all original documents stored.  
  • Filing and general administration work.
  • Dealing with queries raised by clients, solicitors, executors and family, whether face to face, by telephone, email or letter.
  • Making detailed attendance notes of all correspondence
  • Opening/closing files including AML checks, keeping files updated with correspondence (electronic and hard copy) and ensuring compliance with SRA regulations, Lexcel and firm procedures.
  • Retrieval of documents from storage.
  • Scanning and photocopying of documents.
  • Preparing and submitting bills, receipts and payments to the finance team.
  • Reception cover.
    • Telephone answering.
    • Taking card payments.
    • Open and sort incoming post.
    • Maintain diaries & booking of interview rooms.
  • Prepare and deliver the banking.
  • Take recorded mail and special deliveries to the Post Office.
  • Take the post to local box.
  • Photocopying, preparing bundles for counsel.
  • Witnessing Wills & occasional home visit with Fee Earner.
  • Ad-hoc assistance required from Chief Operating Officer.

Requirements for this role include:

  • Preferably previous work experience in a law firm
  • Advanced computer literacy (word, excel, outlook)
  • Working knowledge of case management software
  • Proficiency in English
  • Excellent administrative and organisational skills
  • Ability to juggle multiple activities and work under pressure
  • Excellent attention to detail

  • Hours - Monday to Friday, 09:00 > 17:15
