We are seeking to recruit an Wills and Deeds Administrator to work with our Bedford and Northampton offices.
Responsibilities include:
- Maintain databases for Wills and Deeds, ensuring accurate records for movement of all original documents stored.
- Filing and general administration work.
- Dealing with queries raised by clients, solicitors, executors and family, whether face to face, by telephone, email or letter.
- Making detailed attendance notes of all correspondence
- Opening/closing files including AML checks, keeping files updated with correspondence (electronic and hard copy) and ensuring compliance with SRA regulations, Lexcel and firm procedures.
- Retrieval of documents from storage.
- Scanning and photocopying of documents.
- Preparing and submitting bills, receipts and payments to the finance team.
- Reception cover.
- Telephone answering.
- Taking card payments.
- Open and sort incoming post.
- Maintain diaries & booking of interview rooms.
- Prepare and deliver the banking.
- Take recorded mail and special deliveries to the Post Office.
- Take the post to local box.
- Photocopying, preparing bundles for counsel.
- Witnessing Wills & occasional home visit with Fee Earner.
- Ad-hoc assistance required from Chief Operating Officer.
Requirements for this role include:
- Preferably previous work experience in a law firm
- Advanced computer literacy (word, excel, outlook)
- Working knowledge of case management software
- Proficiency in English
- Excellent administrative and organisational skills
- Ability to juggle multiple activities and work under pressure
- Excellent attention to detail
- Hours - Monday to Friday, 09:00 > 17:15
