Team Administrator/Assistant - Cardiff

We are looking for an enthusiastic, hard-working and reliable Administrator/Assistant with the opportunity to progress to a Secretary/Legal Assistant. You will be part of our busy and growing Team in the Education Department based at our Cardiff Office located at Cardiff Gate Business Park. 

Please note that no previous experience is needed as full training will be provided.

Required Skills:

  • You will need to have strong administration and organisational skills.
  • A methodical approach to planning and organising your tasks to ensure they are carried out accurately and delivered to a high standard.
  • You will need to work efficiently to support the Team’s administrative tasks.
  • Communication skills by email and telephone are essential.
  • Prioritising tasks/duties required by the Team.
  • Willing to learn, use own initiative and take on responsibilities are key.

*Please note that this position is for a Team Administrator/Assistant initially with the potential to progress to a Legal Assistant within our Team.

Experience using a Case Management System if preferable, but not essential as training will be provided.

Driving Licence/own car may be required due to commuting to our office based at Cardiff Gate Business Park. 

Key tasks include:

  1. Dealing with enquiry telephone calls and online enquiries; taking details down of the enquiry and allocating them to the appropriate fee earner.
  2. Opening, closing and ongoing orderly maintenance of all files in accordance with firm’s quality standards and Lexcel compliance.
  3. Using Outlook to draft emails to third parties; chasing client instructions, acquiring updates and follow up from third parties on cases.
  4. Photocopying and Scanning documentation to assist the Team.
  5. Ensure client information and documentation is saved appropriately and maintained on the firm’s Case Management System.
  6. Ability to liaise with other departments and offices across HCB Network.
  7. Assist with post duties when required to do so.
  8. Ensure the confidentiality of the client and firm’s information and documentation at all times.
  9. Maintain client files including copying, storage and retrieval of information.
  10. Other duties as required to ensure the efficient running of the Team’s files and workload.
     

Office Hours:  Mon – Fri  09.00 – 17.15 (flexible hours will be considered)
Holiday: 25 days plus Bank Holidays
Bonus Holiday Scheme (12 additional days leave)
Salary: Competitive (dependant on experience)
