Legal Assistant - Residential Property - Aberdare

We are looking for an enthusiastic and reliable Legal Secretary/Assistant to join our new Property Department based at our Aberdare Office located on High Street, Aberdare.

Previous experience in law is preferable, if not, training will be provided.

Key Skills:

  • You will need to have strong secretarial and communication skills.
  • A methodical approach to planning and organising your tasks to ensure they are carried out to an accurate and high standard.
  • Time management is key.
  • You will need to work independently and efficiently.
  • To be able to work under pressure.
  • Confidence in dealing with clients in a professional manner both on the telephone and in person, is essential.
  • Prioritising tasks/duties within expected given case deadlines.
  • Ability to draft emails independently in a professional manner.
  • *Please note:  our audio typing is outsourced, but the candidate will still be expected have basic typing skills for this position.
  • IT literate; Outlook/Microsoft/Excel/*Case Management System.

*Experience using a Case Management System if preferable, but not essential, as training will be provided.

Key tasks include:

  • Dealing with enquiry telephone calls; taking details down of the enquiry
  • Administration duties including filing post.
  • Emailing and corresponding with various parties on property transactions.
  • Drafting initial contract paperwork.
  • Scheduling telephone calls/meetings.
  • Reviewing searches & mortgages offers (training will be provided)
  • Opening, closing and ongoing orderly maintenance of files in accordance with firm’s quality standards and Lexcel compliance.
  • Photocopying and Scanning documentation.
  • File Management.
  • Ensure client information and documentation are saved and maintained on the firm’s Case Management System.
  • Ability to liaise with other departments and offices across HCB Network.
  • Assist with post duties when required to do so.
  • Ensure the confidentiality of the client and firm’s information and documentation at all times.
  • Maintain client hard copy files including copying, storage and retrieval of information.
  • Other duties as required to ensure the efficient running of the office.

Office Hours: Mon – Fri 09.00 – 17.15, but flexible hours will be considered.
Holiday: 25 days plus Bank Holidays
Bonus Holiday Scheme (12 additional days leave)
Salary: dependent on experience
